How to Use Smartlead: Step-by-Step Setup Guide
Learning how to use Smartlead comes down to seven steps: create an account, connect sending mailboxes, warm them up, import leads into a campaign, write the sequence, set the schedule and launch. Most of the work happens in four tabs inside each campaign (Leads, Sequence, Email Accounts, Settings). This guide covers each step briefly and links to deeper walkthroughs where a step needs more detail.

What does Smartlead do in a cold email stack?
Smartlead is a cold email platform that sends multi-step campaigns from many connected mailboxes, warms those mailboxes up, rotates sending across them and collects replies in one inbox. It sits between a lead source (a CSV, a CRM or its own SmartProspect database) and a CRM that receives the interested replies.

Cold email is the outbound branch of that idea, where deliverability matters more than design. There are five core components a new user touches in the first week:
- Email Accounts: The page where sending mailboxes are connected through Google OAuth, Outlook or SMTP, with warmup status and daily limits shown per mailbox.
- Campaigns: Found under Engage in the left navigation, each campaign holds its own leads, sequence, assigned mailboxes and sending schedule.
- Warmup: A per-mailbox Warm-up tab that exchanges emails with a shared pool to build sender reputation, included on every plan.
- Master Inbox: A unified inbox that pulls replies from all connected mailboxes and tags them by lead category for follow-up.
- SmartAssistant: An AI chat panel included on all plans and trials that can create campaigns, write sequences and run diagnostics.

What do you need before you start?
A working Smartlead setup needs a sending domain with authentication records, at least one mailbox on that domain, a verified lead list and a short sequence draft. Having these ready before sign-up means the trial clock is spent on warmup and testing rather than on DNS changes.
There are five things to prepare before creating the account:
- Secondary sending domain: A domain separate from the main company domain, ideally a .com without hyphens or numbers, to protect the primary domain.
- SPF, DKIM, DMARC and MX records: Authentication records on every sending domain, since missing records are the first spam cause Smartlead lists.
- Business mailboxes: Google Workspace or Microsoft 365 mailboxes on the sending domain, since free Gmail accounts cannot use OAuth.
- Verified lead list: A CSV of verified prospects with clean columns for first name, company and any custom fields used as variables.
- Sequence draft: A few short plain-text emails with one clear call to action, written before the Sequence tab is opened.
With those ready, the rest of setup is clicking through screens.
Step 1: Create an account and start the free trial
The Smartlead free trial is a 14-day trial that needs no credit card and unlocks every feature except white labeling. It caps campaign sending at 2,500 emails and stores up to 1,250 contacts, while mailbox connections are unlimited, so it is large enough to warm mailboxes and run one small test campaign.
| Item | Free trial | Base plan |
|---|---|---|
| Length / price | 14 days, no credit card | $39/mo or $32.50/mo billed annually |
| Email sends | 2,500 total | 6,000 per month |
| Contacts stored | 1,250 | 2,000 |
| Mailboxes | Unlimited | Unlimited |
| Warmup | Included (does not count toward sends) | Unlimited, Foundation pool tier |
| Excluded | White labeling, SmartSenders purchases | API, webhooks and CRM access (Pro and above) |

The trial is generous on mailboxes and warmup but tight on sends, so it is best used to prove setup and deliverability rather than to run full volume.
Every campaign email counts toward the trial limit, including follow-ups and bounces. The Smartlead free trial guide covers a plan for those 14 days, and the full Smartlead pricing breakdown explains which plan comes next.

Step 2: Connect your sending mailboxes
Connecting a mailbox means authorizing Smartlead to send and read email from that address. The flow starts on the Email Accounts page in the left sidebar with the + Connect Mailbox button, then asks for an infrastructure type and a provider: Google OAuth, Outlook or SMTP. A connected mailbox shows a green Connected status.
Smartlead’s help center says each connection takes under two minutes. Google Workspace needs a one-time admin approval before OAuth works, free @gmail.com accounts use SMTP with an app password, and Microsoft 365 needs Authenticated SMTP and IMAP enabled by an admin.
Admin screens, server settings and error fixes are in the guide on how to connect Gmail and Google Workspace to Smartlead. Every plan allows unlimited mailboxes.
Step 3: How long should you warm up before sending?
Warmup is the process of sending and replying to emails between real inboxes so a new mailbox builds a positive reputation before it sends cold campaigns. Smartlead’s help center recommends warming an inbox for at least two weeks before sending or A/B testing, and warmup is included on every plan.
To turn it on, open the Email Accounts tab, click a mailbox, open its Warm-up tab, choose the settings and toggle Enable Warmup. The key settings are total daily warmup emails, Daily Ramp-Up for fresh domains, randomized volume and reply rate, where Smartlead recommends 20-30%.
Those settings and the pool tiers are explained in the Smartlead warmup settings guide, and the concept in what email warmup is and why it matters. Two weeks is the minimum.
Step 4: Create a campaign and import leads
A Smartlead campaign is a container for one set of leads, one sequence and one schedule. It is created from Engage, then Campaigns, then + Create Campaign, and it opens in Draft status. Leads are added on the campaign’s Leads tab with + Add Leads, which offers four sources.
There are five options worth knowing at import time:
- Upload CSV: A spreadsheet upload where columns map to fields such as name, email and company, and extra columns become custom fields.
- Import from CRM: A direct import from a connected CRM, since CRM access is included on Pro and above, not on Base.
- SmartProspect: Smartlead’s built-in lead finder, which pushes verified contacts straight into a campaign without exporting files.
- Global Block List: An import setting that excludes any lead on the account-wide block list from the new campaign.
- Community Bounce List: A recommended setting that removes addresses known to bounce across Smartlead’s network before the first send.
Teams that source leads elsewhere can follow the Hunter to Smartlead lead workflow or review the Smartlead integrations for HubSpot, Clay and Zapier.
Step 5: How do you write the sequence?
A sequence is the ordered set of steps each lead receives, with a wait time between them. In Smartlead it is built on the Sequence tab with + Create First Step, and each step is an Email, a Manual Task or a Call for SmartDialer users. Steps support variables, AI Spintax, templates and A/B variants.
Smartlead’s API documentation suggests widening gaps as the sequence goes on, from two to four days after the first email up to seven to fourteen days later. Due follow-ups are sent before new leads.
Variables such as {{first_name}} are case-sensitive, and spintax such as {Hi|Hello|Hey} rotates wording. The guide to building a Smartlead email sequence with delays and A/B tests covers variants and subsequences. A short, plain sequence is the safer first launch.
Step 6: Assign mailboxes and configure campaign settings
Campaign settings decide which mailboxes send, when they send and when a lead stops receiving emails. Mailboxes are assigned on the Email Accounts tab, which shows each account’s daily limit and warmup status, and everything else lives on the Settings tab under schedule, behavior, delivery and protection groups.

That is why several warmed mailboxes per campaign matter, as explained in how inbox rotation works in cold email. There are five settings to review before launch:
- Send Interval and New Leads per Day: Pacing controls beside timezone, active days and sending window; the interval must exceed the mailbox minimum gap by two minutes.
- Stop condition: The rule that ends a lead’s sequence, with stopping on replies recommended over stopping on clicks or opens.
- Variant distribution: Pattern-based (recommended) or randomized distribution for A/B variants, a choice locked once the campaign is live.
- Delivery Optimization: Plain Text Mode, enhanced sending, optional open and click tracking and an Email Provider Distribution split.
- Protection and Limits: High bounce rate auto-protection, domain-level rate limiting and an unsubscribe message added to every email.
Plain text with tracking off and replies as the stop condition is a conservative default for a first campaign.

Step 7: Launch and monitor the campaign
Launching is the final review where Smartlead checks that leads are added, at least one sequence step exists and email accounts are assigned. Clicking Launch Campaign moves the campaign from Draft to Active, and it starts sending on the defined schedule. A campaign can later be Paused or Stopped.
The first days are about bounces and replies, not opens. High bounce rate auto-protection pauses the campaign past the set threshold, and a mailbox’s daily limit is split across every campaign it serves. Paused is reversible while Stopped is permanent, so pause first when something looks wrong.
How do you handle replies after launch?
Replies are handled in the Master Inbox, Smartlead’s unified inbox that collects responses from every connected mailbox in one login. It filters by campaign, sender, tag and reply type, supports bulk actions and can auto-categorize replies with AI when that option is enabled in campaign settings.
Smartlead’s API documentation lists five default lead categories, plus custom ones:
- Interested: A reply showing buying intent, which typically becomes a CRM deal and can trigger a follow-up subsequence.
- Meeting Request: A reply that asks for or agrees to a call, routed to whoever owns the calendar for that account.
- Information Request: A reply asking for pricing or more details, often answered with a saved template or a short note.
- Not Interested: A clear decline that stops the sequence for that lead on the current offer and campaign.
- Do Not Contact: A request to stop emailing, honored immediately and kept on the block list for future campaigns.
The Smartlead Unibox and Master Inbox guide covers views, filters and team workflows. Categorizing every reply keeps the pipeline clean.
How to use Smartlead: full setup checklist
This checklist is a one-page summary of how to use Smartlead from an empty account to a live campaign, with the place in the app for each step. A practical order is to connect mailboxes on day one, start warmup immediately, then build lists and write copy during the warmup weeks.
| Step | Where in Smartlead | What done looks like |
|---|---|---|
| 1. Account | Sign-up page | Trial active, no card added |
| 2. Mailboxes | Email Accounts, + Connect Mailbox | Every mailbox shows Connected |
| 3. Warmup | Mailbox, Warm-up tab, Enable Warmup | Warmup running for at least two weeks |
| 4. Leads | Engage, Campaigns, Leads tab, + Add Leads | Leads imported with fields mapped |
| 5. Sequence | Sequence tab, + Create First Step | All steps written, wait times set |
| 6. Settings | Email Accounts tab and Settings tab | Mailboxes assigned, schedule saved |
| 7. Launch | Launch Campaign | Status shows Active |

Steps 1, 2, 4, 5 and 6 can be done in one session, while step 3 needs calendar time before step 7.
What mistakes slow down a first campaign?
Most first-campaign problems are configuration issues rather than copy issues: unauthenticated domains, mailboxes sending too much too soon, or settings that block each other. Smartlead’s help center documents each of these in its troubleshooting articles, and all of them are fixable before launch.
There are five mistakes to avoid on a first launch:
- Skipping authentication: Sending before SPF, DKIM and DMARC are set up, which is the first spam cause Smartlead lists.
- Overloading one mailbox: Going past 50 emails per mailbox per day including warmup, the combined ceiling Smartlead recommends.
- Rushing warmup: Launching after a few days instead of the two weeks of warmup that Smartlead recommends.
- Conflicting time gaps: A campaign send interval shorter than the mailbox minimum gap plus two minutes, which stalls sending.
- Testing to personal Gmail: Judging deliverability from a personal Gmail inbox or the same domain, which Smartlead says gives misleading results.
If emails already land in spam, see why Smartlead emails go to spam. Fixing these five before launch prevents most first-week surprises.
Bottom line: is Smartlead easy to set up?
Smartlead is easy to set up for anyone who already has a sending domain and business mailboxes, because the app follows a clear order: mailboxes, warmup, leads, sequence, settings, launch. The real constraint is time, since warmup needs at least two weeks before a campaign should send real volume.
“Smartlead’s setup is quick; the two-week warmup is the part worth planning around.”

Frequently asked questions
The 12 most-asked questions about how to use Smartlead.
How do I start using Smartlead?
Start the 14-day free trial, which needs no credit card. Connect sending mailboxes on the Email Accounts page, turn on warmup for each one, create a campaign under Engage, import leads, write the sequence, set the schedule and launch after at least two weeks of warmup.
Is Smartlead hard to learn for beginners?
Not really. Every campaign follows the same four tabs: Leads, Sequence, Email Accounts and Settings. The harder part is deliverability groundwork such as domain authentication and warmup. SmartAssistant, an AI chat panel included on every plan and trial, can also create campaigns and run diagnostics.
How long does it take to set up Smartlead?
Connecting a mailbox takes under two minutes per inbox according to Smartlead’s help center, and a campaign can be configured in one session. The limiting factor is warmup, which Smartlead recommends running for at least two weeks before sending campaigns.
Can I use a free Gmail account with Smartlead?
Yes, but not through Google OAuth. Free @gmail.com accounts connect through SMTP and IMAP with a 16-character Google app password, which requires 2-Step Verification. Smartlead recommends Google Workspace with OAuth as the more secure and reliable method. Workspace mailboxes also need a one-time admin approval first.
Do warmup emails count toward my Smartlead sending limit?
No. Warmup emails do not count toward the monthly send count, a mailbox’s campaign daily limit or the trial’s 2,500 sends. Smartlead still recommends keeping outbound plus warmup at about 50 emails per mailbox per day in total. Warmup is unlimited on every plan.
How many mailboxes can I connect to Smartlead?
Every Smartlead plan includes unlimited email accounts with no per-mailbox or per-seat fee, and the free trial also allows unlimited mailbox connections. Google OAuth, Outlook and SMTP mailboxes can be connected in the same account. Volume therefore grows by adding warmed mailboxes rather than paying for seats.
Where do I add leads in Smartlead?
Inside a campaign. Open Engage, then Campaigns, select the campaign, go to the Leads tab and click + Add Leads. The options are Upload CSV, Import from CRM, Saved Lists and SmartProspect, with settings to exclude block lists, unsubscribes and known bounces.
What should my first Smartlead sequence look like?
A few short plain-text emails with one clear call to action. Smartlead’s API documentation suggests two to four days between the first and second email, then wider gaps up to seven to fourteen days. Stopping the sequence on replies is the recommended setting.
Why is my Smartlead campaign sending fewer emails than expected?
Common causes are a send interval not at least two minutes longer than the mailbox minimum time gap, a daily limit shared across several campaigns, or a disconnected mailbox. Due follow-ups are also prioritized over new leads, which lowers new-lead volume.
Where do Smartlead replies go?
Replies from every connected mailbox land in the Master Inbox, Smartlead’s unified inbox. They can be filtered by campaign, sender or category, auto-categorized with AI, assigned to teammates, answered with templates and pushed to a connected CRM. Saved views let teams filter replies by client or team member.
Which Smartlead plan do I need for API and CRM access?
API access, webhooks and CRM access start on the Pro plan at $94 per month, or $78.30 per month billed annually. The Base plan at $39 per month does not include API, webhooks or CRM access. Teams that rely on integrations should plan on Pro or higher.
Can I cancel Smartlead after the trial?
Yes. Smartlead has no lock-in contract, offers monthly or annual billing and can be cancelled at any time. The free trial requires no credit card, so it ends without a charge unless a paid plan is chosen. Annual billing saves 17% for teams that decide to stay.
