Smartlead for Agencies: White-Label and Client Management

Smartlead for agencies works through client workspaces that cost $29 per client per month from the Pro plan upward, with three included on Unlimited Prime. Each workspace can carry its own campaigns, mailboxes and login, under the agency’s brand if white-labeling is enabled. With unlimited email accounts on every plan, the main agency costs are the base plan and the per-client fee.

Is Smartlead for agencies worth it?

Smartlead for agencies is worth it when an agency runs cold email for several clients and needs separate data, logins and branding for each one. The per-client fee is predictable, mailboxes are unlimited, and higher plans add dedicated support, which makes the cost easy to pass through to client retainers.

The trade-off is setup effort. White-labeling is not switched on by default, client workspaces need the Pro plan or higher, and the trial excludes white labeling entirely. Agencies with one or two clients may find a single workspace and careful campaign naming good enough at first.

For the broader product verdict, our Smartlead review covers sending, warmup and reporting for all user types.

For agencies with three or more clients, Smartlead’s per-client model usually pays for itself in cleaner operations.

What does Smartlead offer agencies?

Smartlead offers agencies a set of features built around client separation: workspaces, permissions, branded access and per-client automation. These sit on top of the standard sending stack, so every client gets the same unlimited mailboxes, warmup and inbox rotation that a single-brand account would get.

Six features carry most of the agency value:

  • Client workspaces: Each client gets a separate workspace with assigned campaigns and email accounts, priced at $29 per month per client from the Pro plan upward.
  • White-label app: Agencies can run Smartlead on their own subdomain with their logo and branding, so clients log in to what looks like the agency’s own tool.
  • Client permissions: Client logins can have full or limited access, and agencies choose which reply categories each client sees inside the Master Inbox.
  • Client-level API keys: Each client can get its own API key, rate-limited to 60 requests per minute by default, and revoked keys are kept for 30 days.
  • Client dashboards: The Master Inbox supports client dashboards, internal comments and teammate assignment, and saved views can filter replies by client.
  • Per-client webhooks: Webhooks can be assigned to campaigns, clients or users, so reply events can flow into each client’s own CRM or reporting sheet.

Together, these features let one agency team run many clients without mixing their data or exposing the underlying tool.

How do client workspaces work in Smartlead?

A client workspace is a separate area inside the agency account that holds one client’s campaigns, mailboxes and reply data. The client logs in with its own credentials and sees only what the agency has assigned, while the agency keeps a single view across every client it manages.

Adding a client follows six steps in the Client Access menu:

  1. Open Client Access: Select Client Access in the left navigation and click Add Client to open the setup form for a new client account.
  2. Enter client details: Fill in the client name, company name, email address and password, which become the client’s login credentials for the workspace.
  3. Set permissions: Choose full access or limited access, depending on whether the client should edit campaigns or only review results and replies.
  4. Filter reply categories: Pick which reply categories to show or hide in the client’s Master Inbox, for example showing only replies marked Interested.
  5. Set credit allowances: Optionally enable email and lead credits for the client and set allowances, which keeps one client from using the whole plan.
  6. Assign campaigns and mailboxes: Create the client, then assign campaigns from campaign settings and email accounts from the mailbox Management tab so the client sees them.

Once created, the client receives a login email. Anything not assigned stays invisible to that client, which keeps other clients’ data private.

Workspaces take a few minutes per client to set up and give each client a clean, private view.

How much does Smartlead cost for an agency?

Smartlead costs an agency its base plan plus $29 per client workspace per month. Client workspaces start on Pro at $94 a month, Unlimited Smart costs $174 and Unlimited Prime costs $379 with three workspaces included. Base, at $39, has no client workspaces, CRM access or API, so agencies skip it.

The table shows that Pro is the cheapest entry for agency work, while Prime bundles infrastructure and support that larger agencies would otherwise buy separately.

Annual billing saves 17% on the base plan. Smartlead does not charge per seat or per mailbox, so adding sending accounts for a new client does not raise the plan price. Our Smartlead pricing guide covers every add-on in detail.

For agencies, the real price is the base plan plus $29 per client, with Prime absorbing the first three.

Cost per client at 5 and 10 clients

Cost per client is the monthly plan price plus workspace fees, divided by the number of clients. At 10 clients, Pro works out to $38.40 per client, Unlimited Smart to $46.40 and Unlimited Prime to $58.20, assuming extra Prime workspaces bill at the same $29 rate as on other plans.

The cheapest plan per client is Pro, but its 30,000-contact cap and 90,000 sends are shared across every client, which leaves little room at 10 accounts.

Per-client cost at 10 clients, calculated from Smartlead’s published prices (October 2026).

Per-client cost is only half the picture. Pro gives each of 10 clients about 3,000 stored contacts and 9,000 sends a month, while Unlimited Smart removes the contact cap and includes 50,000 verified prospect emails. On Pro, verified prospect emails cost another $59 a month.

Pro is cheapest per client on paper, but Unlimited Smart is usually the safer choice once an agency passes five active clients.

How does Smartlead white-labeling work?

Smartlead white-labeling replaces Smartlead’s branding with the agency’s own domain, logo and colors, so clients use the app under the agency’s name. It requires the Pro plan or higher and is not enabled by default, so the agency has to request it from Smartlead support first.

“White-label products are sold by retailers with their own trademark”

Source: Wikipedia, White-label product

Setup runs through five steps, based on Smartlead’s help center:

  • Confirm the plan: White-labeling needs Smartlead Pro or a higher plan, and the free trial excludes it, so the account must be on a paid plan first.
  • Request activation: Contact Smartlead through chat support to request white-labeling, since the feature is switched off by default on every new account.
  • Choose a subdomain: Share a subdomain such as app.youragency.com with support, on a domain where the agency controls the DNS records and can add new entries.
  • Add DNS records: Support sends TXT and CNAME records to add at the DNS provider, and Smartlead activates the subdomain once the records are confirmed.
  • Set branding: Open Profile, then Settings, then Whitelabel Settings to set the domain, branding and logo that clients see when they log in.

Once live, an agency can give clients full app access under its own brand and handle billing itself, or offer restricted reply-only access that shows only selected categories.

White-labeling takes a support request and two DNS records, after which clients see only the agency’s brand.

Client access options and permissions

Client access in Smartlead is the set of controls that decide what each client can see and change. Agencies can hand over a full branded app, a limited view of campaigns, or a reply-only inbox, and the right level depends on how hands-on each client wants to be.

Five access patterns cover most agency relationships:

  • Full branded access: The client gets a complete white-labeled app with campaigns and mailboxes, suited to clients who want to edit copy or launch sequences themselves.
  • Limited campaign access: The client sees assigned campaigns and results without editing rights, a common setup for retainers where the agency owns all execution.
  • Reply-only inbox: The client sees only replies, often filtered to Interested leads, which keeps sales teams focused on conversations instead of campaign settings.
  • Credit-capped workspace: Email and lead credit allowances cap what each client can use, which protects the shared plan limits from one heavy client.
  • API-connected client: A client-level API key lets a client’s own systems pull data or add leads without touching other workspaces in the agency account.

Reply routing ties into the Master Inbox, covered step by step in our Smartlead Master Inbox guide.

Match the access level to the client’s role, and most clients will need nothing more than a filtered reply inbox.

Which Smartlead plan should an agency choose?

The right Smartlead plan for an agency depends on client count, contact volume and how much support the team needs. Pro fits small agencies starting out, Unlimited Smart fits growing agencies that need unlimited contacts, and Unlimited Prime fits established agencies that want infrastructure and a dedicated manager.

Five agency profiles map to a plan:

  • Freelancer with 1 to 2 clients: Pro at $94 a month plus $29 per client covers early client work, with CRM sync, API and webhooks included from this tier.
  • Small agency with 3 to 5 clients: Unlimited Smart at $174 removes the 30,000-contact cap that Pro shares across clients and adds CSM call access for support.
  • Agency with 5 to 10 clients: Unlimited Smart stays efficient here, while Prime becomes worth comparing once dedicated servers and a private Slack channel carry real value.
  • Established agency with 10+ clients: Unlimited Prime includes 500,000 sends, three client workspaces, three SmartServers and a dedicated manager for $379 a month.
  • Agency testing the model: The 14-day free trial covers every feature except white labeling, which is enough to test sending and client workflows before paying.

Start on Pro or Smart, and move to Prime when infrastructure and dedicated support start to matter.

Scaling sending across many clients

Scaling sending across clients means adding mailboxes, domains and warmup capacity without hurting any single client’s reputation. Smartlead helps because email accounts are unlimited on every plan, inbox rotation spreads volume across all mailboxes in a campaign, and warmup is unlimited and included.

New client domains still cost money. Through SmartSenders, fresh Google or Outlook mailboxes start at $4.50 per mailbox per month plus $13 per domain per year, and pre-warmed Google mailboxes cost $9 per mailbox per month plus $18 per domain per year. Dedicated SmartServers cost $39 per server per month, and Prime includes three.

Warmup pool quality rises with the plan: Pro mailboxes use the Growth pool, while Unlimited Smart and Prime use the Premium pool. Our Smartlead warmup guide explains the ramp-up settings to use on fresh client domains.

Plan mailbox and domain costs per client up front, since they sit outside the Smartlead subscription.

Reporting and reply handling for clients

Reporting for agency clients in Smartlead runs through the Master Inbox, client dashboards and outbound data feeds. Replies from every mailbox land in one place, can be filtered by client, and can be pushed to a CRM, a Slack channel or a Google Sheet for client-facing reports.

Saved views in the Master Inbox can filter by lead category, campaign, sender account and client, and can be shared with teammates. AI categorization can sort replies into categories such as Interested, Meeting Request and Not Interested. CRM sync and webhooks need Pro or higher. The Smartlead integrations guide covers HubSpot, Slack and webhook setup.

Good reply routing turns the Master Inbox into a client reporting hub without extra tools.

A practical agency workflow in Smartlead

A practical agency workflow in Smartlead moves each client from onboarding to reporting in six repeatable stages. Keeping the same order for every client makes it easier to hand work between team members and to spot problems before they hit a client’s sender reputation.

Six stages cover a typical client cycle:

  1. Onboard the client: Create the client in Client Access, set permissions and reply categories, then assign the campaigns and email accounts that belong to that client.
  2. Provision mailboxes: Buy domains and mailboxes through SmartSenders or connect the client’s own, set SPF, DKIM and DMARC, then enable warmup with daily ramp-up.
  3. Build the list: Pull verified contacts from SmartProspect or upload a CSV, applying the global block list and community bounce list during import.
  4. Launch the sequence: Write steps with variants, stop leads on reply, set a high bounce rate threshold and launch after at least two weeks of mailbox warmup.
  5. Route replies: Use AI categorization and saved Master Inbox views filtered by client, so each client sees only the reply categories agreed in the contract.
  6. Report results: Push replies to the client’s CRM through native integrations or webhooks, and share client dashboards during weekly or monthly reviews.

For list building with a dedicated finder, the Hunter and Smartlead workflow shows the CSV route step by step.

A fixed six-stage routine keeps every client consistent and makes the agency easier to scale.

What are the limits of Smartlead for agencies?

The limits of Smartlead for agencies are mostly about plan gates and setup steps rather than missing features. Base has no client workspaces, white-labeling needs a support request, CSM call access starts on Unlimited Smart, and the dedicated manager and private Slack channel are Prime only.

Contact storage is the gate agencies hit first on Pro, because the 30,000-contact limit is shared across every client in the account. Verified prospect emails also cost $59 a month on Pro, while Smart and Prime include them. The free trial cannot test white-labeling, so branded access has to be checked after upgrading.

If those limits are deal-breakers, our Smartlead alternatives list compares agency options such as Woodpecker’s Agency Panel.

Most limits disappear on Unlimited Smart, which is why many agencies treat it as the real starting plan.

Smartlead for agencies: the verdict

The verdict on Smartlead for agencies is positive for teams running three or more clients. Workspaces at $29 each, unlimited mailboxes and branded access make client work easy to package, and Unlimited Smart offers the best balance of price, contact storage and support for most growing agencies.

Frequently asked questions

The 12 most-asked questions about Smartlead for agencies.

How much does Smartlead charge per client?

Smartlead charges $29 per month for each client workspace, available from the Pro plan upward. Unlimited Prime includes three client workspaces in its $379 monthly price. The Base plan at $39 does not support client workspaces, so agencies need at least Pro at $94 a month.

Does Smartlead offer white-labeling?

Yes. Smartlead offers white-labeling on Pro and higher plans, but it is not enabled by default. Agencies request it through chat support, share a subdomain they control, add the TXT and CNAME records support provides, then set their domain, logo and branding in Whitelabel Settings.

Can I test white-labeling in the Smartlead free trial?

No. The 14-day free trial includes every feature except white labeling. It does include 2,500 email sends, 1,250 contacts and unlimited mailboxes, which is enough to test sending and client workflows before upgrading to a paid plan that supports branded access.

What does a client see when they log in?

A client sees only the campaigns and email accounts the agency assigns to them. Agencies can grant full or limited access and choose which reply categories appear in the client’s Master Inbox, for example showing only replies marked Interested. Everything else in the account stays hidden from that login.

Which Smartlead plan is best for agencies?

Unlimited Smart at $174 a month is the best fit for most growing agencies, because it removes the contact storage cap, includes 50,000 verified prospect emails and adds CSM call access. Pro suits agencies with one or two clients, and Prime suits established agencies with ten or more.

How many clients does Unlimited Prime include?

Unlimited Prime includes three client workspaces in its $379 monthly price, plus three SmartServers, a dedicated manager and a private Slack channel. Additional client workspaces are an add-on, listed at $29 per month each on Smartlead’s pricing page, so a fourth client adds $29 to the bill.

Is there a limit on mailboxes per client?

No. Smartlead includes unlimited email accounts on every plan, so agencies can connect as many client mailboxes as needed without a per-mailbox fee. Buying new mailboxes through SmartSenders does cost extra, starting at $4.50 per mailbox per month plus a yearly domain fee.

Can each client have its own API key?

Yes. Smartlead supports client-level API keys through API Key Management in Settings, with one key per client. Each client key is limited to 60 requests per minute by default, and revoked keys are kept for 30 days before deletion, which gives time to rotate credentials safely.

Can clients see each other’s data?

No. Each client sees only the campaigns and email accounts assigned to their workspace. Anything not assigned stays hidden, so separate clients cannot view one another’s leads, replies or sending accounts inside the agency’s Smartlead account, even when they share the same plan limits.

Do agencies get dedicated support on Smartlead?

Support depends on the plan. CSM call access is included on Unlimited Smart and Unlimited Prime, while a dedicated manager and a private Slack channel are included only on Unlimited Prime. Agencies on Pro get neither of these extras, so Smart is the first plan with a support call option.

Is Smartlead cheaper than paying per seat for agencies?

Usually, yes. Smartlead does not charge per seat or per mailbox, so adding teammates or client inboxes does not raise the plan price. The variable cost is the $29 monthly fee per client workspace, which is easy to pass through to retainers.

Can agencies resell Smartlead to clients?

Yes. With white-labeling active, an agency can give clients full app access under its own brand and run its own billing, or offer restricted reply-only access. The agency pays Smartlead for its plan and workspaces and sets client pricing independently.
